Glanusk Lodge – Premises Terms & Conditions

Booking terms and conditions:

1. Booking and payment

For bookings made more than 8 weeks before arrival, a deposit of 50% of the total cost of the stay is required. The remaining 50% balance is due 6 weeks before the holiday commences. For bookings made less than 8 weeks before arrival, the total amount is payable in full on booking. Payment options are detailed on your invoice. Please note that the lead person responsible for a booking must be aged 18 or over. You may like to pay in advance in full to secure and confirm your booking which is necessary using the online booking system.

2. Access to the main gates on the A40 and B4558

A security system controls access at the main gates on the A40 (NP8 1SH) and B4558 (NP8 1LP). Please telephone the Estate Office on 01873 810414 prior to your arrival to get the access information for the gates. Please let us know if you will be arriving any later than 6pm in the evening. In order to provide you with gate codes.

3. Check in and Check out

Check in time is 3pm and check out time is 10am. Please contact us if you require a late check out – additional charges may apply. Guests are responsible for leaving the property in good order and in a clean condition. An additional cleaning charge may apply if deemed necessary by management of Glanusk Events LLP.

If you are with a wedding party and staying on for lunch on the day you check out, you will need to vacate your room by midday. A late check-out may be available – please discuss this with us at time of booking. Additional charges may apply.

4. Damage to Rooms or contents

Guests agree to inform Glanusk Events LLP of any damage or loss however caused, excluding reasonable wear and tear, incurred during occupation. Glanusk Events LLP may ask for reasonable replacement costs. Guests will allow reasonable access to the property by the Glanusk team for maintenance, given reasonable notice.

5. Conduct of Guests

Whoever is the lead contact person making the booking with Glanusk Events LLP is responsible for the orderly conduct of all guests while staying in any properties on The Glanusk Estate. Please ensure all guests have regard to any regulations imposed by any competent authority and that nothing will be done which will constitute a breach of the law.

6. Liability

Glanusk Events LLP cannot accept responsibility for any material loss, damage, additional expense or inconvenience directly or indirectly caused by or arising out of the property, its plumbing, gas, electrical services or exceptional weather. No responsibility is accepted for loss or damage of property, vehicles or vehicle contents belonging to the guest or any member of the party during their occupancy.

7. Force Majeure

Glanusk Events LLP cannot accept responsibility or liability for any alterations, delay or cancellation or any other loss or damage caused by war, civil strife, terrorist action, industrial disputes, fire, sickness, bad weather, epidemics, acts of any government or public authority, changes imposed by re-scheduling of airlines or any other event outside our control.

8. Lost Keys

There will be a charge of £100 to replace any Penmyarth or Glanusk Estate keys that are lost by guests during their stay.

9. Pets

Guests are welcome to bring up to two well behaved dogs which must be restricted to the kitchen/utility room, and an additional charge is payable. Glanusk is a busy working estate and sheep are often in the fields surrounding the properties – dogs must be kept on a lead at all times to avoid worrying livestock. Please also note that a permissive path runs through the estate and walkers are often accompanied by their dogs. Poop bags and a special bin are provided – please clean up after your dog. We would also be grateful if muddy paws are wiped before entering the properties and ask that dogs are kept out of the bedroom. Should any pet leave hair, dirt or damage any bedrooms or reception rooms that require extra cleaning, there will be an hourly rate charge to the lead contact person. Photographs will also be taken of the damage by house staff. Therefore, please keep dogs in the kitchen/utility area.

10. Number of People using Holiday Accommodation

Glanusk Events LLP permits the guest and members of the guest’s stated party to occupy the property for holiday purposes only. No more than the maximum number of persons stated on the website may occupy a property unless by prior written agreement with the Estate. Extra charges may be applicable.

11. Appliances

Please refer to the instruction sheets provided for all appliances in the Lodge including dishwasher, cooker, washing machine and dryer, TV, DVD player, heating and AGA. If you require any additional appliances during your stay that you can’t find, please let us know as they can be provided immediately. The water supply to the estate and its properties is spring fed and compliance treated.

12. Children

If you have any children in your party, please advise us when you make your booking. We do NOT provide cots, high chairs or Baby changing facilities in the Lodge. The supervision of children, babies and any adults requiring care remains the responsibility of the guest at all times. However, we are very happy to book a babysitter or care giver for your stay. However, you are welcome to bring a travel cot for use during your stay. Please note there are no child safety locks on any of the cupboards.

13. Linen

All rooms are provided with bed linen, bath towels, bath mats and hand towels. Please let us know if you require additional linen during your stay. Additional charges may apply.

14. Visitors

You may wish to invite day visitors to the Lodge during your stay – we would ask that you consider the guests at other accommodation nearby and keep music and other noise within reasonable levels.

15. Parking

Parking for the Lodge is in the circular area directly in front of the house. Please only park on the hard standing. If you are expecting a large group of visitors, please let us know at time of booking so we can arrange additional parking and signage if required. Depending upon the number of people a small charge to cover use of additional land for parking may apply.

16. Rubbish and recycling disposal

All waste can be deposited in one bin. There is no need to sort your waste for recycling. Our waste is collected and recycled offsite. Please use the red Thomas Waste bins at the front of the Lodge. If you require any additional waste bags, please let the office know (01873 810414).

17. Hazards

All measures have been taken so far as is reasonably practicable to ensure the property is safe for you to use and enjoy during your stay. Please make sure, however, that you take a little time to make yourself aware of the features of the property and any hazards which you may encounter so that you can take any necessary precautions and enjoy your stay fully. There are steps, uneven ground and paving around the property and gardens, please ensure that you familiarise yourself with these on arrival and walk carefully.

18. Glassware and china

Please do not take any glassware or china down to the river – if anything is broken it can cause a hazard to animals and to humans. Please inform the Estate Office of any breakages (01873 810414)

19. Open Fire

The open fire in the drawing room will be laid and additional logs stacked in the baskets next to the fire and at the front door. Please take care to keep the fire guard in place at all times.

20. Trees

There are many beautiful trees on The Estate including over 300 different cultivars of oak. Due to a number of reasons, from time to time a bough may fall from the trees, so we would advise all guests to avoid standing under, climbing, or picnicking under the trees. You will see that in some places we have roped off the areas around the trees and this is part of an on-going management programme. However, we would ask that you avoid standing under, climbing or picnicking under all the trees on The Estate whether they are roped off or not.

21. The River Usk

The River Usk can be accessed via a number of public rights of way. The river can run fast and deep after heavy rainfall and therefore we ask you to take particular care. It is a very popular spot for anglers and they have priority for use of the river. If there are fishermen at work on the river, we would ask you to be as quiet as possible and to avoid throwing stones or pooh sticks into the river. Please note, no swimming is allowed in the river at any time.  If you would like to fish while you are here with us, please contact the Estate Office on 01873 810 414 or email [email protected] to book.

22. Fire emergency information

Please take some time to read the fire safety emergency plan for Glanusk Lodge. You will find a copy in the entrance hall next to the visitor book. Please note your closest fire exit and the fire assembly point outside the front door of The Lodge. You will find fire extinguishers in the entrance hall, utility room, and upstairs landing. There is a fire blanket in the kitchen. Two torches are provided – one in the alcove under the stairs on the ground floor, and one at the top of the stairs. Please ensure these torches are left in place and are always plugged in to the chargers. These are only for emergency use during a fire.

23. Please tell us if there is a problem

Please let us know if you experience any problems or if you are concerned about anything to do with the property during your stay. This will help us to identify anything which we do not yet know about and to take any remedial action which is required.

24. Cancellation or Changes by the Guest

Special C19 Policy: Should you as a guest be bound by local or national lockdowns, we will not refund your fee for booking, but will hold over your booking till you can come and see us. Or you can cancel your booking. You are advised to take out Travel and holiday insurance.

Once the stay is booked, the guest has entered into a legally binding contract. If forced to cancel, for whatever reason, then no refund of the deposit will be due. If cancellation occurs within 6 weeks of your holiday no refund of the full balance will be due. It is advised that a holiday cancellation protection plan should be taken out to cover the eventuality of cancellation.

Cancellations must be notified in writing to Glanusk Events LLP immediately they occur. This can be done by email to [email protected]. Glanusk Events LLP will endeavour to re-let the property and if successful will allow the guest to transfer to alternate dates and or accommodation offered by Glanusk Events LLP, less a £25.00 administration fee plus any other expenses incurred in re-letting. The expenses incurred in re-letting will be at the discretion of Glanusk Events LLP and transfer to alternative dates will be subject to availability.

25. Cancellation by Owners

Special C19 Policy: If we have to cancel or postpone you coming to visit us due to a local or national lockdown here at Glanusk, we will refund you in full, or we will hold over your booking till you can come and see us post restrictions.

Glanusk Events LLP reserves the right to refuse any booking and to cancel any bookings already made if the property is unavailable (e.g. through fire, flood, etc) for any reason whatsoever, subject to a full refund of all monies paid (but no further liability). Glanusk Events LLP shall be under no other liability if such cancellation occurs. Note: in the unlikely event of a cancellation Glanusk Events LLP will make every possible effort to help to secure alternative accommodation if required.

If, in the opinion of Glanusk Events LLP, any person is not suitable to continue their occupation of the property because of unreasonable behaviour, damage or nuisance to other parties, the contract may be treated by Glanusk Events LLP as discharged and Glanusk Events LLP may repossess the property immediately. The guest will remain liable for the whole cost of rental and no refund shall be due.

26. Insurance

We recommend and expect that the guest will have or will take out a holiday insurance policy (which includes cancellation insurance covering sickness and unavoidable reasons for cancellation) prior to their stay.

27. No Smoking

No smoking is permitted in any of the properties offered by Glanusk Events LLP. Smoking is permitted outside and we would request that that all butts are collected and disposed of in the ash bins provided.

28. Driving and walking around the Estate

The speed limit all over the estate is 10 miles per hour, and we would ask that you avoid driving on the verges – if you do meet someone coming the other way, please reverse to a suitable passing place. If you are walking on the Estate and happen to stray, you may be approached by one of the Glanusk staff or a tenant farmer. Please tell them where you are staying.

The area between the A40 gates and the Tower Bridge known as Penmyarth Park is the private family area and is out of bounds to all guests other than by specific invitation. Signs leading to this area are clearly displayed.

You will see signs on the Estate for the Permissive Path. This is a public footpath through The Estate. If you are interested in following the footpath, you will find a map for the path in your welcome pack.

29. Additional drink and chilled food storage

Glanusk Lodge has a domestic fridge/freezer in the kitchen and a second fridge/freezer in the utility room. Please let us know at time of booking if you will need any additional refrigerated food or drink storage and we can hire additional units for you. There will be an additional charge to cover the hire.

30. Open water

There is a stream in the garden which leads to a small pond. Our guests enjoy the open and natural look of the landscape so the stream and pond are unfenced. Please supervise children as necessary. Similarly, the River Usk runs close to the property and can be accessed via a number of public rights of way. The river can run fast and deep after heavy rainfall and you should therefore take particular care.

31. Paved areas

The paved terrace areas around the house are made of old flagstones which, by their nature, can be uneven so please take care accordingly when using the terrace and upon entry and exiting the Lodge.
